Job Description bank in downtown Toronto is seeking a PCO for a 3 month contract (renewable).. The GWMS -Run the Bank is looking for a seasoned PCO to assist with a project that is called Holistic Wealth Management Upgrade. This project is currently in the piloting phase and will consist of doing a national upgrade for the bank from Windows 7 to Windows 10. It will consist of doing conversions, providing 1 on 1 support for executives ensuring there is a flawless transitions and VIP service is provided. The PCO may also be managing multiple OPs for the same finances. The successful candidate will get the opportunity to work on a grand transformational project, while working in a fast paced, agile and challenging environment. This will also be a great networking opportunity as the PCO will be the face front for many components of the project. Typical Day in Role- - Responsible for supporting the Program/Delivery Team. Responsible for the maintenance, control, coordination and administration of assigned Project(s) - Maintain the project files; this pertains to project documentation and artifact creation, approvals, spreadsheets, meeting minutes, third party contracts and other correspondence and documentation as appropriate o Familiarity with the following applications would be an asset: CAPPM, Smart Stream, Co-Works, Vista, Service Now etc o Daily monitoring and follow-up on project actions, including escalation when applicable for resolution. Responsible for providing transparency and status information regarding deliverables to the Program/Delivery Manager o Identify and escalate obvious gaps/conflicts to the Program/Delivery Manager as needed to ensure corrective action takes place - Act as the project secretariat; this includes preparing/distributing agendas, attending meetings, preparing/distributing clear and detailed minutes on a timely basis, recording, communicating and following up on action items and maintaining project distribution lists o Maintaining internal project reporting and updating tracking logs, hosting daily touchpoint meetings with the high-level team, - Ongoing communication of project status, completing on agreed-on project reports and escalating issues to the Delivery manager as required o Drafting and distribution of announcements o Provide expertise in team communications o Reporting and presentation drafting o Communication and content creation for internal websites - Maintain the budget; this includes auditing items to be delivered under projects, reviewing the weekly and monthly time tracking reports for anomalies, ensuring all invoices have been approved prior to payment and ensuring accruals are properly recording and maintaining ongoing cost to complete forecasts. This includes full reconciliation of the project budget and completing investigations for differences as they occur - Employee/Team time management; ensuring timesheets are collected weekly, managing staff lieu hours and team holiday and furlough dates. Travel coordination for the team once the project expands nationally (flights and hotel bookings) and daily coordination amongst team as well as long term coordination and management of the Statement of Work. - Support the Program/Delivery Manager to ensure all appropriate areas are represented on the project team and to maintain momentum of the project against a background of constantly conflicting priorities. The individual is required to multitask on several projects at one time depending upon complexity and activities in progress
Job Requirements Must Have Skills: 1) Project Control Officer Experience – 5+ years of experience 2) Strong project financial focus – running forecasts, ensuring accuracy, forecast accruals etc. - 3+ years of hands on experience 3) Excellent experience with MS Office (Excellent documentation management (end-to-end) and creating presentation/decks) – 5+ years of hands on experience 4) Ensures full transparency regarding Project Change Controls and RAID log management, escalating issues where appropriate – 3+ years of hands on experience Soft- Skills: - Impeccable communication skills (written and verbal) – will be speaking with executives and assisting in creating decks/presentations. - Strong organizational, time management, analysis and attention to detail and follow-up with project stakeholders - Well developed negotiation, influencing, interpersonal relationship building and listening skills - Able to effectively prioritize, multi-task and flourish in a fast paced, deadline-driven work environment Additional Notes: - Looking for someone with an accounting background or familiarity with finances for projects (formal accounting + project management experience) - Professionalism (in terms of attire and demeanor) and strong communication skills are mandatory - Experience in employee management (furlough, invoicing, vacation management, etc.) - Organized and able to work in a fast and challenging work environment - Submitted candidates must be able to start working with no more than 2 weeks of notice Nice to Have - French speaking - Financial education or undergraduate degree (accounting) - PMP/CPA designation - FI/Banking experience - Experience with the following applications: Cappm, Smart Stream, Co-Works, Vista, Service Now etc o Clarity PPM experience would be an asset - Familiar with coding (i.e. using HTML – want them to be a webmaster) - Agile Degrees or certifications: University degree/education
